About Position
KEMITRAAN – Partnership for Governance Reform in Indonesia is seeking a qualified and dedicated Admin & Finance Assistant to support the implementation of the PARTISIPASI: Strengthening Civic Space and Citizen Engagement in Indonesia project.
KEMITRAAN has been selected as a Core Group Partner (CGP) under the Indonesia Democratic Participation Program (Partisipasi), funded by the Australian Department of Foreign Affairs and Trade (DFAT). The four-year program, running from July 2026 to May 2030, is convened by The Asia Foundation (TAF) and aims to strengthen the consolidation of Indonesia’s democratic movement.
The Admin & Finance Assistant will provide day-to-day technical and operational support for project administration and financial transactions, including procurement, travel arrangements, payment documentation, filing, cash and transaction recording, and financial reporting support. The position will work under the direct supervision of the Project Finance & Grant Officer.
Key Responsibilities
The position will be responsible for:
- Providing administrative and operational support for project activities and ensuring compliance with KEMITRAAN policies and procedures.
- Managing project correspondence, documentation, and physical and digital filing systems.
- Supporting travel arrangements, meetings, workshops, trainings, and field activities.
- Supporting procurement of goods and services and related logistical arrangements.
- Assisting with activity budget preparation, cash-flow projections, and budget updates.
- Verifying invoices, receipts, tax documents, attendance sheets, purchase orders, and other payment supporting documents.
- Preparing payment requests/payment vouchers and maintaining records of project funds and transactions.
- Supporting financial monitoring, transaction recording, tax administration, archiving, and periodic financial reporting.
- Supporting audit follow-ups and maintaining audit-ready financial documentation.
- Participating in training, knowledge sharing, and continuous improvement of administrative and operational processes.
Qualifications
Education
- Minimum Diploma (D3) or Bachelor’s Degree (S1) in Accounting, Management, Office Administration, Economics, or other relevant fields.
Professional Experience
- Minimum 2–3 years of professional experience in project administration and finance.
- Experience with national/international NGOs or development cooperation projects is preferred.
- Practical experience in payment receipt verification, document filing, petty cash management, and activity logistics support.
- Sound understanding of basic accounting principles, office financial procedures, and basic tax regulations, including Income Tax/VAT.
- Competence in financial software, Microsoft Excel, data warehouse maintenance, and physical/digital archiving systems.

- Good interpersonal and coordination skills.
- Ability to work independently and as part of a team.
- Good written and oral communication skills in Bahasa Indonesia and English.
